Church Secretary — Job Description

Reports to: Church Administrator
Classification: Part-Time (28 hours per week, Monday–Thursday)

Position Overview

The Church Secretary provides essential administrative support to Covenant Church and serves as a welcoming, professional presence for both our congregation and the broader community. This individual will manage a variety of tasks in a fast-paced environment and must be highly organized, detail-oriented, and proficient in Microsoft Office (Word, Excel, and Outlook). Professionalism, discretion, and the ability to maintain confidentiality are essential to this role.

Primary Responsibilities

  • Answer phones and greet visitors in a courteous and professional manner; assist individuals in person, by phone, and via email.

  • Manage the church-wide calendar, ensuring accuracy and timely updates.

  • Maintain the building door schedule and send weekly reminders.

  • Provide administrative support to other staff members as needed.

  • Complete routine filing, both physical and digital.

  • Order office supplies as needed for church staff.

  • Assist with the preparation and production of bulletins, brochures, and other printed materials.

  • Maintain an organized and tidy workroom for staff and volunteers.

  • Attend weekly staff meetings.

  • Ensure phones and the front entrance are always properly covered during office hours.

  • Sort and distribute daily mail and packages to staff and leadership mailboxes.

  • Perform additional duties as assigned by the Church Administrator to support the mission and operations of the church.

The Church Secretary position is employed by the Staff Parish Relations Committee and shall work under the supervision of the Church Administrator.

 

Education and Experience

 

This position requires a strong spiritual background, the ability to keep confidentiality, and commitment to the church and to the ministry of the church.  A minimum of 3 to 5 years in a professional office with either an associate degree in business administration or a bachelor’s degree from an accredited institution of higher education in relevant fields is optional. The candidate must have a proven track record of effective leadership, judgment, and above-reproach character.
Compensation commensurate with the qualifications and experience of the selected candidate.
